The Berkeley School (TBS), a progressive TK-8 independent school in the San Francisco East Bay Area, seeks a Data and Systems Manager to provide strategic oversight and daily management of the school’s data systems.
As a member of the Admin and Business Office Teams, the Data and Systems Manager reports to the Chief Financial Officer (CFO) and works closely with TBS faculty, staff, and families to ensure the integrity, security, and accessibility of school data for institutional decision-making, and to provide IT support while contributing to a warm, inclusive school culture where all students feel seen and supported.
POSITION OVERVIEW:
This is a salary non-exempt, .5 FTE (approximately 20 hrs/week) position on campus, reporting to the CFO. Weekly hours may fluctuate with the cadence of the school year calendar, with an influx of responsibilities during but not limited to admissions and enrollment season, weeks leading up to progress report posting, bi-annual MAP testing, etc. This position may occasionally include evenings and/or weekends for events, professional development, and/or staff meetings.
The salary range for this non-benefited position is $35,000–$40,000. The start date is as soon as possible.
PRIMARY POSITION RESPONSIBILITIES:
- Serve as the school’s database and systems administrator for Ravenna Student Management, ParentSquare, FinalSite, Magnus Health, ProCare, and all other school platforms, including training and supporting faculty, staff, and families.
- Partner with staff and board teams to collect, analyze, and report data that informs planning and decision-making, including academic reporting (e.g., MAP testing) and institutional reporting (e.g., fundraising, NAIS/DASL, CAIS accreditation).
- Manage seasonal database processes across the student lifecycle — enrollment, record updates and archiving, and progress reporting for Elementary, Middle School, Extended-Day, Depot, and Summer Camp.
- Set up and manage enrollment, extended-day, Depot, and summer camp contracts in FinalSite, and support families through the contracting and rolling admissions process.
- Safeguard sensitive data, including student records, custodial information, and donor documentation, with discretion and strong security practices.
- Serve as TBS’s point of contact for IT vendors and service providers; manage student and staff edtech accounts, devices (Mosyle Manager, Apple School Manager), and the Google Admin console.
- Administer the back end of family conference sign-ups and provide technical support to families on school systems.
- Actively participate in TBS community events (open houses, admissions events, Block Party, Day at the Park, Graduation) and professional development activities.
- Regularly evaluate TBS’s software platforms and student/staff devices for redundancy, underuse, or aging equipment, and recommend consolidation, renewal, or replacement to reduce cost and streamline workflows.
- Other duties as assigned by the CFO.
REQUIRED QUALIFICATIONS
- Bachelor’s degree in data science, education, business, or a related field, or equivalent experience.
- Experience leading cross-functional data initiatives and managing confidential or sensitive information.
- Demonstrated commitment to diversity, equity, and inclusion, with a track record of implementing equity-centered practices in school or nonprofit settings.
PREFERRED QUALIFICATIONS
- Working knowledge of Ravenna Student Management, ParentSquare, FinalSite, Magnus Health, ProCare.
- Ability to pull, organize, and summarize data in ways can be used for analyzing, planning, and decision-making.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
This role is primarily performed at a desk and computer on TBS’s campus, with regular movement around indoor and outdoor spaces (including exposure to student and playground activity) and occasional lifting of up to 25 lbs for tasks such as device setup, equipment transport, or general campus support.
